An exclusive use property & estate in Hampshire is looking for an experienced Reservations & Administration Coordinator to oversee the sales and marketing, handle events’ planning, help manage the reservations procedures, as well as the business’s administration.
The role is therefore obviously diverse, multi-skilled and hands-on, as the team is relatively small. The business is relatively embryonic, family owned, and everyone involved believes in multi-tasking.
Responsibilities and duties will include:
Handling all reservation calls and correspondence
Liaising closely with the company’s appointed Sales & Marketing associated representatives
Corresponding and liaison with all the agents and potential guests who contact the property
Working with our external PR representatives
Arranging and completing their own Sales trips
Arranging and hosting show-rounds and familiarisation trips, as well as co-hosting such events
Attending sales calls when needed as well as trade shows
Managing the organisation of our Social Media, company collateral and associated marketing work
Copywriting new material when required
Working alongside the management with the arrangements for events from initial call to completion of booking
Working alongside the management for those events during the guest liaison and planning stages
Ensuring the Property Management System is up to date and programmed correctly
General work around the house itself, including meet and greet, some service (bar and table) and housekeeping when needed – we all do this !
Office administration, including stock control and IT maintenance contracts
Ideal applicants will have to had experience in sales and marketing for the hotel, hospitality, and /or exclusive use property industry.
A working knowledge of IT including website CMS, Social Media and Room Reservations and PMS.
Experience in food and drink service will be a benefit.
