An exclusive use property and estate in Hampshire is looking for an experienced Reservations & Administration Coordinator to manage the reservations procedures, look after the business’s overall administration, handle events’ planning and help with the sales and marketing.

The role is therefore obviously diverse, multi-faceted and hands-on, as the team is relatively small. The business is relatively embryonic, family owned, and everyone involved believes in multi-tasking.

Responsibilities and duties will include:

Working for and with the House Manager

Handling all reservation calls and correspondence

Corresponding and liaison with all the agents and potential guests who contact the property

Office administration, including stock control and IT maintenance contracts, follow-up calls, generally backing up the House Manager

Working alongside the management with the arrangements for events from initial call to completion of booking

Working alongside the management for those events during the guest liaison and planning stages

Ensuring the Property Management System and diaries are up to date

Helping with the organisation of our Social Media, company collateral and associated marketing work

Liaising closely with the company’s appointed Sales & Marketing associated representatives

Arranging and occasionally hosting show-rounds and familiarisation trips, as well as co-hosting such events

Arranging and attending sales calls and trade shows with the House Management when required

General work around the house itself, including meet and greet, some service (bar and table) and housekeeping when needed – we all do this !


Ideal applicants will have had experience in reservations for the hotel, hospitality, and /or exclusive use property industry.

A working knowledge of IT including website CMS, Social Media and Room Reservations and PMS.

Experience in food and drink service will be a benefit.
